Instructors get their own login, and it is narrower than yours on purpose. They take the register, mark skills off, award grades and log an incident. The timetable, the money, the memberships and the club's own settings stay with you.

Progress is logged through the term, one skill at a time across the whole class. By testing day the app has counted who has passed enough, so a coach confirms what they already know and every parent hears the same evening. The club in these two runs gymnastics, so the app says badge. A karate club sees belt.
One skill, the whole class
Pick the skill, tap the children who have it, or mark the lot in one go. Nobody opens fifteen checklists at the side of a hall.
Everyone who passed
Every child against your own pass mark, eight of the ten or whatever you set. The ready ones are ticked, the rest are left alone, and the coach can overrule either way.
What ClubHQ will never do
We never take a cut you didn't choose.
Money you collect outside the app never reaches us. Card payments in the app are a switch you decide to flip: turn it on and 1% of those payments covers running that side, alongside the bank's own card fee. Leave it off and the monthly is the whole bill.
We never advertise to your members.
No ads, no tracking for advertisers, and nobody's details are ever sold or passed on. Your members' data is yours and theirs.
We never mix clubs together.
One club can't see another's members, classes or grades. That separation is enforced in the database itself, not by careful coding.

We set your club up
We take your timetable, your families and your fees off whatever you run today, and load them in with your name, colours and venues. You send it over once; we type it all.
You get a private code
Members download the app and enter that code once. It puts them in your club and nobody else's. Share it on a poster, a WhatsApp message, or a QR code at the door.
You go live when you say so
Check it over with your own club in it, then switch the old system off on a date you pick. Run both for a few weeks first if you prefer. Nothing turns off until you say so.
Priced per club.
Never per member.
One flat monthly for the club, however many families are on it. Software with your own branding tends to start around £60 a month, and most platforms take a slice of every payment on top.

Taking class fees in the app
Switch it on whenever you want and families pay in the app instead of by standing order or cash on the door. The bank's card fee is 1.5% + 20p a transaction, and 1% on top covers running the payments side. That is 2.5% + 20p all in, and it is the rate, not a starting price. Your monthly does not change.
Setting up is on us
We move you off whatever you use now and type it all in. No charge for it.
Switch either way, whenever
Start monthly and move to yearly once you know it suits you, or the other way round. Changing is a message to us, not a new contract.
No contract
Cancel any time and take a copy of your data with you. We review it together at three months.
