FOR UK CLUBS  MARTIAL ARTS · DANCE · GYM · SWIM

Your club's own app.

Class booking, grades and announcements, branded for your club, on your members' home screens. Not another portal they have to be talked into.

Nothing to pay, no card, no contract. Every screen on this page is the real app, not a mockup.

A member's grade history, showing the current belt, when it was awarded and the next grading date.
RETENTION

Progress they can see.

Members rarely quit over price. They quit when they stop feeling like they're getting somewhere. Every belt, grade and stage lives on the family's phone, with the next grading date already on it, so carrying on becomes the default.

This week's timetable across every venue, with places to book.
EVERY VENUE

This week, one tap away.

The timetable across every hall you run, with a place booked or cancelled in two taps. Parents stop asking what time the Tuesday class is.

The ClubHQ home screen: the next class, and each child's current belt with their next grading date.
ONE FAMILY, ONE LOGIN

Both kids, one account.

A parent with two children signs in once and sees both, each with their own grade, classes and next grading date. No second login, no working out which child a reminder is about.

Club announcements as they arrive on a member's phone.
ONE CHANNEL

You post once. Everyone knows.

A cancelled session, a grading date, a change of hall. Write it once and it lands as a notification on every family's phone, instead of four group chats half the club has muted.

ONE APP  SHAPED TO YOUR CLUB

Every club measures progress differently.
Yours measures it your way.

Set up with your name, your colours, your venues and your own progression. Live in weeks, and it never feels off-the-shelf.

Ma

Martial arts

Belt ladder, grading countdown, and what the next grade asks for, per dojo.

Da

Dance & stage

Graded exams and showcase milestones. RAD, ISTD, IDTA and LAMDA progressions.

Sw

Swim

A stage tracker mapped to Swim England or STA, with the next assessment in view.

Gy

Gym & cheer

Badges and levels awarded as they come, the milestones that keep families rebooking.

ON THE DOOR  FOR YOU AND YOUR INSTRUCTORS

The side your instructors actually use.

Instructors get their own login, and it is narrower than yours on purpose. They take the register, mark skills off, award grades and log an incident. The timetable, the money, the memberships and the club's own settings stay with you.

The staff home screen: members on the roster, classes this week, gradings due next month, and today's two classes.

The morning look

Who is on the roster, what runs today, and which gradings are coming. One screen, before you have left the house.

The door register for the day, showing each class and how many members are booked in.

The door register

Who is booked into tonight's class, on the phone in your hand as they walk in.

The weekly timetable by day, each class with its venue, capacity and age range.

The timetable

Every class by day, with its venue, its cap and who it is for. Set it once and it repeats.

The member list, each with their current grade.

Your members

Everyone in the club with their current grade, and the next grading you have set.

Writing a club announcement, with the choice of who it goes to and how it reaches them.

One announcement

Everyone, one class or one grade. It lands as a notification on every family's phone.

The club settings hub: the invite code parents use to join, plus money, gradings, the incident log and automatic messages.

The rest of it

The code parents join with, what you have taken and who owes it, the incident log, and messages that send themselves.

TESTING DAY  THE PART THAT WAS ALWAYS PAPER

A whole class, graded from the register.

Progress is logged through the term, one skill at a time across the whole class. By testing day the app has counted who has passed enough, so a coach confirms what they already know and every parent hears the same evening. The club in these two runs gymnastics, so the app says badge. A karate club sees belt.

Marking one skill across a class. Eight of the nine children already have it, and a button marks the whole class at once.

One skill, the whole class

Pick the skill, tap the children who have it, or mark the lot in one go. Nobody opens fifteen checklists at the side of a hall.

Awarding a grade to a class. Each child shows their passed-skill count, the six who meet the club's pass mark are ticked, and the three who do not are left unticked.

Everyone who passed

Every child against your own pass mark, eight of the ten or whatever you set. The ready ones are ticked, the rest are left alone, and the coach can overrule either way.

What ClubHQ will never do

We never take a cut you didn't choose.

Money you collect outside the app never reaches us. Card payments in the app are a switch you decide to flip: turn it on and 1% of those payments covers running that side, alongside the bank's own card fee. Leave it off and the monthly is the whole bill.

We never advertise to your members.

No ads, no tracking for advertisers, and nobody's details are ever sold or passed on. Your members' data is yours and theirs.

We never mix clubs together.

One club can't see another's members, classes or grades. That separation is enforced in the database itself, not by careful coding.

GETTING STARTED  NOTHING FOR YOU TO INSTALL

Three steps, and we do
the moving.

STEP 01

We set your club up

We take your timetable, your families and your fees off whatever you run today, and load them in with your name, colours and venues. You send it over once; we type it all.

STEP 02

You get a private code

Members download the app and enter that code once. It puts them in your club and nobody else's. Share it on a poster, a WhatsApp message, or a QR code at the door.

STEP 03

You go live when you say so

Check it over with your own club in it, then switch the old system off on a date you pick. Run both for a few weeks first if you prefer. Nothing turns off until you say so.

PRICING  FIRST MONTH FREE, NO CONTRACT

Priced per club.
Never per member.

One flat monthly for the club, however many families are on it. Software with your own branding tends to start around £60 a month, and most platforms take a slice of every payment on top.

Taking class fees in the app

Switch it on whenever you want and families pay in the app instead of by standing order or cash on the door. The bank's card fee is 1.5% + 20p a transaction, and 1% on top covers running the payments side. That is 2.5% + 20p all in, and it is the rate, not a starting price. Your monthly does not change.

Setting up is on us

We move you off whatever you use now and type it all in. No charge for it.

Switch either way, whenever

Start monthly and move to yearly once you know it suits you, or the other way round. Changing is a message to us, not a new contract.

No contract

Cancel any time and take a copy of your data with you. We review it together at three months.

Try it free for a month.

We build it with your timetable on it and move you off whatever you use now. Nothing to pay for a month, no card, no contract.
